Tutorial 8: What to say when: writing tips and templates

What to say when: writing templates you can copy and paste or convert to your personal writing and style.


Everyone has their own speaking style. Your invitations should be written so that they sound like they are coming from you personally. 

Here are some ways to ask for email and postal addresses and let your friends know they are going to get something fun in exchange. Keep it friendly, short and to the point.


1. Here's how to ask people for email and postal address when you run into them on the street, at events, etc.  This can also be used as a phone call.

"Some of my paintings are going to be in the [NAME OF SHOW HERE] soon.  I'll be sending you an invitation. I want to make sure I have your correct address and email? I'd love for you to come to the opening and see the show." 

Or, "One of my paintings has been selected to be in (such and such) art show. The opening is (date and time). It's going to be fun.  I'd love to send you an invitation, may I get your current address?"

2.
Send an email request for a mailing address
, (but remember you will always get a better response when you ask in person).


"I'm super excited about the [name of event or show] I'm going to be in. I'm about to mail out invitations and I'd love to send you one, can you please send me your mailing address?"

3. Send an email invitation or reminder to an event. (here's an example, substitute your info).

Dear [NAME]

The 10th Annual Plein Air Key West is this Saturday, March 10,2018!
And I'll be participating.
It's hosted by the Key West Art Center and Gallery.
The reception for the artists and sale of the day's paintings is in the evening.
I'd love it if you could come. It's always a wonderful show.  
Here are the details:
Artist Reception for Plein Air Key West, 2018
Where: The Key West Art Center and Gallery
             301 Front Street, Key West, FL 33040

When:  Saturday March 10, 2018
            5:00pm to 7:00pm
            
This is a great opportunity to meet many of Key West's finest artists and add to your collection.

P.S. I suggest you come early, lots of great paintings are sold in the first 45 minutes of the show. ;)

4. Email a thank you to people who have given you their email address. 

You can collect email addresses by using a clip board, notebook or guest book, or by asking, at any event, outdoor show, open studio, etc. 

The people who agree to give you their address are expressing an interest in your work and it is everyone's best interest if you follow through with a thank you that includes other places they can see your work.

Example:
Dear [NAME]
It was fun to meet you at (such and such event).  [ IF POSSIBLE SAY SOMETHING PERSONAL YOU REMEMBER ABOUT THE MEETING; DOG'S NAME, WHERE THEY ARE FROM, WHICH PIECE THEY LIKED, etc.]

Then add where they can see more of your work, such as;

1.You can see more of my work on the web at www.your website (give them a clickable link)

2. I'll be at the following shows this spring and summer,  names and dates of shows

3. My studio is open to visitors at such and such dates and times

4. More of my work can be seen at  Whatever Gallery, then give the address or web address.(give them a clickable link)

5. You can see more of my work online, I'm on Facebook as____________________ and find me on Instagram as @_________________________

It was great to meet you,
[YOUR NAME]

5. Send a thank you to customer via the post office.

Dear Mary/ Hi Mary/ Hello Mary  - give a salutation with the buyers name

It was great to see you in the studio/ talk to you on the phone/ meet you at the art show.  And I'm so glad you choose "Rose in Bloom" to add to your collection.  It's one of my favorite pieces and it means so much to me that I got to meet the owner.  By the way you described your powder room I know it will look great there. (or any kind of details from your encounter, something that let's the buyer know that there was a connection and they mean something to you)Enjoy the painting,

6. Email a thank you to directors or heads of organizations

Dear Ms/Mr [NAME]
Thank you for hosting (name of the event). I was honored to participate. It was a lovely evening/beautiful day/ wonderful show. Everyone had a great time and I look forward to next year.

7. Someone has admired a piece of yours on social media and it is about to go on sale.


Hi {Name},
I thought you might like to know that the painting, "Palm Tree by the Sea", that you've admired is now part of the March Madness sale on my website. (along with some other fun paintings). The sale goes public tomorrow, but I want to give you first dibs :)  Here's the link

8.The rejection email

Dear [NAME]
Thank you for taking the time to look at my application for (whatever it was). I'm disappointed I wasn't accepted, but I look forward to applying again." (or something similar)

9. Most of all I want you to be sending out beautiful postcards that people can hold in their hands.

These cards can be invitations to events or lovely "stay in touch" notes to your customers and potential customers.
Below are some examples of how to layout the text on the back your postcard invitations.


Put all the important info on the back. Sign it by hand

Don't forget to put your name on the front.





A blank post card can be used for thank you notes and a hundred other stay in touch things.
